Registry Requirements
 
The Society's Pedigree Registration System and how it operates

Note To ensure that the integrity of the Registration System is maintained Members are reminded that the Society retains the right to have calves inspected if required before registrations are made.

The following procedure is to be used for the registration of all calves born on or after 1st January, 1998.

(1)  EAR MARKS:  GREAT BRITAIN, IRELAND & HOLLAND

    As all cattle are required to have an official Ministry approved tag in their right ear the details recorded on this tag will also be recorded on the Pedigree Certificates appertaining to the animal.
    If the official tag is lost then a replacement tag bearing the original details will have to be obtained and the animal re-tagged in the right ear.
(2)  REGISTRATION OF HEIFERS
      For HEIFER registrations, the completion of one Entry Schedule per Heifer to be registered, will enable the breeder/entrant to register his Heifer(s) to pedigree status with the Society. The Entry Schedule referred to will be accepted by the Society as being both a Birth Notification and an Entry Form.
      (a)  HEIFER entry fees are £12 (plus V.A.T.)

      (b)  HEIFER Entry Schedules MUST BE RECEIVED by the Secretary within 90 days from the date of birth, otherwise LATE ENTRY FEES will be payable. (Between 3 & 6 months -- £20 plus V.A.T., over 6 months -- £30 plus V.A.T.)

      (c)  HEIFER Entry Schedules MUST be purchased from the Secretary on a PREPAID BASIS by the breeder/entrant, i.e. prior to HEIFERS reaching the age of 90 days, a breeder/entrant will apply to the Secretary (on a form provided for the purpose) for the required number of Entry Schedules. WITH THIS APPLICATION IS FORWARDED THE RELEVANT REGISTRATION FEES.

      (d)  When the Secretary receives the application for schedules, and the requisite amount in entry fees, he will at once forward the required number of Entry Schedules to the applicant, who will complete and return them to the Secretary within 90 days of date of birth of the Heifer(s).
      The pedigree data to be provided on the HEIFER Entry Schedule is -- NAME OF ANIMAL; DATE OF BIRTH; EAR MARKS; COLOUR; SIRE; DAM and NAME AND ADDRESS OF BREEDER and/or ENTRANT.
      To this will be added, in the Society's Office, details of the GRAND PARENTS AND GREAT GRAND PARENTS ON BOTH SIDES of the animal's breeding.

      (e)  As soon as possible after entry, the breeder/entrant receives TWO PEDIGREE CERTIFICATES for each entry submitted. On the reverse side of the Certificate for HEIFERS is a 'record of progeny' and space for transfer details, which can be maintained by the owner as a simple, yet complete form of record-keeping. (In the event of additional Certificates being required, these can be purchased for £1.50 each (plus V.A.T.) from the Secretary.)
      One master copy of each Certificate will be retained by the Galloway Cattle Society for filing and record purposes.

(3)  REGISTRATION OF BULLS
    The Procedure for BULL registrations is slightly different from the procedure for Heifer registrations, as it includes a system of Birth Notification. The reason for this is the ever-increasing importance now being attached to Performance and Progeny Testing and the necessity therefore of being able to rapidly verify birth dates of steer calves. This point will also be of importance when checking birth dates, breeding etc., of steers entered for Fatstock Shows -- something which we are requested to do yearly.

    The type of Birth Notification to be used for BULLS is referred to as a BIRTH NOTIFICATION FORM (B1). Births of BULL calves must be notified within 90 days from dates of birth, and on the BIRTH NOTIFICATION FORM, the breeder/entrant will supply the following information -- DAM AND SIRE OF CALF; DATE OF BIRTH; EAR MARKS; COLOUR.

    Breeders/entrants are also supplied with forms known as BULL REGISTRATION FORMS (B2), and these must be completed and returned to the Secretary BEFORE BULLS REACH THE AGE OF 18 MONTHS. All that is required on these forms are details of the EAR MARKS of the BULLS which the breeder/entrant wishes to Register, plus the name to be given to the BULL calf being registered, and these forms, when returned to the Secretary should be accompanied by the appropriate entry fee, which is £22 (plus V.A.T.) per BULL entry, with LATE ENTRY PENALTY applicable (£44 plus V.A.T.).

    When BULL REGISTRATION FORMS are received in the Society's Office, Pedigree Certificates will be prepared from the information received on the original BIRTH NOTIFICATION FORMS, and the procedure for the production of Pedigree Certificates is thereafter the same as for Heifers as detailed in 2(d) and 2(e).

(4)  CALVES WHICH ARE BORN DEAD OR WHICH DIE PRIOR TO REGISTRATION

    Breeders are requested to advise the Secretary of any such calves, and provide the date of birth and name and registration number of the Dam and Sire. This will enable the calving index of all Dams to be maintained in the Society's records.
